John called the meeting to order at 1:00 p.m.
The first order of business was the election of officers. John Mingori will remain as Chairman. Karen motioned, Jane seconded. Jane ter Kuile will remain as Secretary. Dottie motioned and John seconded. Judy Perry will assume the duties of Treasurer. Dottie motioned and Karen seconded.
The Secretary’s report was reviewed and accepted. Karen motioned and Dottie seconded.
The Treasurer’s report was reviewed and accepted. Jane motioned and Dottie seconded. Karen reported that she had performed an audit on the library revenue cash drawer and records. No discrepancies were found.
Maria presented the Director’s report. The Town voted in favor of the library budget. Judy Perry was elected Library Trustee. The article regarding the retention of money generated by income producing equipment passed. Maria prepared a list of the work that needs to be done to repair interior water damage. The Ossipee Garden donated $50 as a Thank You for providing meeting facilities. Maria and Polly will be attending the CHILIS Conference on March 17. The NHLTA Spring Conference will be held on May 23. Jane motioned to accept the report and Karen seconded.
Unfinished Business: A discussion was held on how to handle unexpected library emergencies, like the recent water heater problem. It was decided that Maria would have the authority to spend up to $2,500 with the concurrence of the Chairman, without a full board meeting. John will draft a policy to this affect and have it available for discussion at the April meeting. It was also noted that there has been an unwritten policy allowing Maria to spend up to $500 and this will be added to the new policy. Maria will arrange a meeting with the Selectmen and Brad to determine who is responsible for what at the library; the results of this meeting will be documented for both the Trustees and Selectmen.
As this was Karen’s last meeting, she was presented with a plant and card as well as cake to thank her for her years of service.
